Privacy Policy

We're straight up about how we handle your info. No sneaky stuff, just honest talk about keeping your data safe.

Last Updated: November 4, 2025

Look, we get it - nobody actually enjoys reading privacy policies. But if you're training with us, you deserve to know exactly what we do with your information. We've tried to keep this as real and straightforward as possible, 'cause we're not about hiding behind legal jargon.

When you sign up with us, we're gonna need some basic stuff to get you started. Here's what we collect:

  • Personal Details: Name, email, phone number, date of birth - the usual stuff you'd expect when joining a gym
  • Health Info: Medical history, injuries, fitness goals. We need this to keep you safe during training and make sure we're not pushing you in ways that could mess you up
  • Payment Data: Credit card info, billing address - but this goes through secure payment processors, we don't actually store your full card details on our end
  • Training Records: Attendance, progress notes, what classes you're into. Helps us track how you're developing as a fighter
  • Photos/Videos: If you're cool with it, we might snap some training footage or pics for technique analysis or promotional stuff (but we'll always ask first)

We don't collect anything weird or unnecessary. If we don't need it to train you properly or run our business, we don't ask for it.

Your data isn't just sitting in some dusty database. We actually use it to make your experience better:

  • Training Personalization: Tailoring programs to your goals, tracking your progress, making sure you're getting stronger and more skilled
  • Safety First: Keeping tabs on medical conditions so our coaches know what to watch for during intense sessions
  • Communication: Sending class schedules, reminders, updates about new programs. We're not gonna spam you with nonsense
  • Billing & Admin: Processing payments, managing memberships, handling the business side of things
  • Improving Our Services: Looking at what's working, what's not, so we can keep evolving our programs
  • Legal Stuff: Sometimes we gotta keep records for insurance, liability, or regulatory reasons - it's just part of running a legit operation

Bottom line: we use your info to train you better and keep the gym running smoothly. That's it.

Yeah, our website uses cookies. Not the edible kind, unfortunately. Here's the deal:

Essential Cookies

These keep the site working properly - remembering you're logged in, your cart if you're booking classes, basic functional stuff. Can't really turn these off or the site breaks.

Analytics Cookies

We use tools like Google Analytics to see how people use our site. Which pages get visited most, where folks are dropping off, that kinda thing. Helps us make the site better. These are anonymous though - we're not tracking you personally.

Marketing Cookies

Sometimes we'll use these to show relevant ads or content. If you've checked out our boxing classes, you might see related stuff later. You can opt out of these if you want.

Most browsers let you control cookies through settings. Just know that blocking everything might make parts of the site wonky.

Even though we're based in Canada, we respect international privacy standards. If you're from the EU or somewhere with similar laws, you've got some solid rights:

  • Right to Access: You can ask to see what data we've got on you anytime
  • Right to Correction: If something's wrong or outdated, we'll fix it
  • Right to Deletion: Want us to erase your data? We'll do it (unless we legally have to keep certain records)
  • Right to Portability: You can get your data in a format that's easy to move elsewhere
  • Right to Object: Don't want us using your data for marketing? Just say so
  • Right to Restrict Processing: You can limit how we use your info in certain situations

To exercise any of these rights, just shoot us an email at info@glaivenwardverse.info. We'll get back to you within 30 days, usually way faster.

We process your data based on legitimate interests (running the gym, training you safely), contractual necessity (you signed up for classes), or your consent (when you opt into marketing stuff).

Security's kinda like fighting - you need multiple layers of defense. Here's how we keep your info locked down:

  • Encryption: Your data's encrypted both when it's moving around and when it's stored. Like putting it in a safe that needs multiple keys
  • Secure Servers: We use reputable hosting providers with solid security measures and regular backups
  • Limited Access: Only staff who actually need your info to do their job can see it. Not everyone has keys to everything
  • Regular Updates: We keep our systems patched and up to date to close security holes
  • Staff Training: Our team knows how to handle data properly and spot phishing attempts or other sketchy stuff
  • Physical Security: Paper records are locked up, computers are password-protected, the works

No system's 100% bulletproof, but we take this stuff seriously. If there's ever a breach, we'll let you know ASAP and tell you exactly what happened.

We're not selling your data to random companies. But we do need to share some info with certain folks to run things properly:

  • Payment Processors: Companies like Stripe or Square handle payments securely. They need billing info to process transactions
  • Email & Communication Tools: We use services to send newsletters and updates. They need your email but can't use it for their own marketing
  • Insurance Providers: Sometimes necessary for liability coverage and claims
  • Legal Authorities: If the law requires it or there's a court order, we gotta comply. Hopefully never happens
  • Professional Advisors: Lawyers, accountants, consultants who help us run the business - they're bound by confidentiality agreements

We make sure anyone handling your data has proper security measures and won't use it for anything beyond what we've authorized. They're basically extensions of our team, held to the same standards.

We'll NEVER sell your personal info to marketing lists or data brokers. That's just not how we roll.

We don't hoard data forever. Here's our general approach:

  • Active Members: We keep your data as long as you're training with us, plus a reasonable period after in case you wanna come back
  • Financial Records: Tax laws make us keep billing and payment records for about 7 years. It's not optional
  • Medical/Injury Info: Liability reasons mean we keep this for several years after you stop training with us
  • Marketing Lists: If you unsubscribe, you're off the list immediately. We might keep a record that you opted out so we don't accidentally re-add you
  • Website Analytics: Usually kept for 24-36 months, then automatically deleted

Once we don't need your data anymore and there's no legal reason to keep it, we'll delete or anonymize it. Simple as that.

Our Youth Combat Sports Academy is awesome, but when it comes to kids' data, we're extra careful:

  • For anyone under 16, we require parental consent before collecting any personal information
  • Parents/guardians have full access to their kid's data and can request changes or deletion anytime
  • We collect even less info for youth members - just what's absolutely necessary for safe training
  • Photos and videos of minors require explicit parental permission, and we're super careful about where these get used
  • Youth data is kept in separate, more restricted systems with additional security

If you're a parent with questions about your kid's data, reach out directly. We take this responsibility seriously.

Things change - new laws, new tech, new ways of doing business. When we update this policy, here's what'll happen:

  • We'll update the "Last Updated" date at the top of this page
  • For major changes that affect how we use your data, we'll send you an email or post a notice on the site
  • You'll have a chance to review the changes before they kick in
  • If you're not cool with the updates, you can close your account and we'll handle your data according to the old policy

We're not gonna sneak in major changes without telling you. That'd be shady, and that's not our style.

If you've got questions about this policy or how we handle your data, don't hesitate to reach out. Seriously.

Get in Touch:

We'll get back to you within a couple days, usually sooner. If you feel like we're not handling your data properly or violating privacy laws, you also have the right to file a complaint with the Office of the Privacy Commissioner of Canada or your local data protection authority.

The Real Talk Summary

Look, we know that was a lot. Here's the stripped-down version: We collect what we need to train you safely and run our gym. We protect it like it's our own. We don't sell it or do anything weird with it. You can see it, change it, or delete it whenever you want. And if you've got questions, just ask. We're fighters, not lawyers - we believe in being straight up with people.
